Pick the right plan and you get a productivity platform your team barely notices because it just works. Pick the wrong plan and you either pay for features nobody uses, or discover you are missing something critical the moment you need it.
The pricing looks similar per user across plans. What changes is what each plan actually includes. Getting the sizing right saves real money at scale and prevents the awkward mid-year upgrade conversation.
We set up Microsoft 365 for UAE businesses every month and get asked the same question every time: which plan is the right one? Here is our honest breakdown, with the specific recommendations we give clients on a discovery call.

Office 365 vs Microsoft 365
Quick clarification because the naming is confusing. Microsoft renamed most of the Office 365 plans to Microsoft 365 in 2020, but the phrase Office 365 is still widely used and some plans still carry it in their name (like Microsoft 365 Apps for Business, which is what used to be Office 365 Business).
For this article we use Microsoft 365 as the umbrella term. Everything that was Office 365 for Business is now under the Microsoft 365 for Business umbrella. Same platform, updated branding.
The five plans worth knowing
Microsoft ships several plans across small business, enterprise, and education tiers. For most UAE businesses, five plans cover 95% of cases:
- Microsoft 365 Business Basic
- Microsoft 365 Business Standard
- Microsoft 365 Business Premium
- Microsoft 365 Apps for Business
- Microsoft 365 Enterprise (E1, E3, E5)
The three Business plans are for organisations up to 300 users. Enterprise plans are for organisations above 300 users or with specific compliance and security needs. Apps for Business is a sideways option for teams that only want the Office desktop apps without the email and Teams layer.

Microsoft 365 Business Basic
Entry-tier plan for teams that live in the browser. Includes web and mobile versions of the Office apps but no desktop installs. Good for lean startups, reception teams, and anyone whose main tools are email and video meetings.

Microsoft 365 Business Standard
The default plan for most UAE businesses. Everything in Business Basic plus the full desktop Office apps. This is the plan we recommend as a starting point for the majority of teams.

Microsoft 365 Apps for Business
The Office desktop apps plus OneDrive, without the email, Teams, or collaboration layer. Sideways option for teams that already have another email provider or communication tool.

- Web and mobile Office apps
- No email hosting (bring your own)

Microsoft 365 Enterprise (E1, E3, E5)
Enterprise tier plans for organisations above 300 users or with specific compliance needs. Three tiers with increasing feature depth. E3 is the common starting point for large UAE organisations, E5 for the ones with the strictest security and compliance requirements.
- E1: Web-only Office apps, email, Teams, SharePoint, OneDrive. No desktop apps.
- E3: Full desktop Office apps, enhanced security and compliance, unlimited email storage, Windows and Mobile Device Management.
- E5: Everything in E3 plus Microsoft Defender for Endpoint P2, audio conferencing built in, Power BI Pro, advanced analytics, and enterprise-grade threat intelligence.
- Overkill for small and mid-sized teams

How to choose the right plan
Four practical questions to ask before you sign anything.
1. How many users do you have (and how many will you have in 12 months)?
Fewer than 10 users, start with Business Basic or Standard. 10 to 300 users, Business Standard or Premium. More than 300 users, look at Enterprise plans.
2. Does your team actually use the desktop Office apps?
If most of your team lives in the browser and works in Google Docs-style shared documents, Business Basic is enough. If half your team opens Excel on the desktop every day, Business Standard is the answer.
3. How sensitive is the data you handle?
If you handle client financial records, patient data, legal work, or anything with a regulatory dimension, do not skip Business Premium. The security and compliance features are what protects you when something goes wrong.
4. What does your device fleet look like?
If your team all uses personal devices with no formal management, Business Basic or Standard is fine. If you issue company laptops and phones and want to control what happens on them (especially remote wipe if lost), Business Premium is the right tier.
Scaling note: you can switch between plans any time. Start with the right tier for today, upgrade or downgrade as your business changes. Microsoft makes this straightforward.
UAE-specific considerations
Three things that only matter if your business operates in the UAE.
1. Local support and reseller.
Buying Microsoft 365 through a UAE-based partner like Dedote means faster support, invoicing in AED, and a team that understands the local business context. Buying direct from Microsoft's global portal works, but support is generic and billing is in USD.
2. Integration with local business tools.
Many UAE businesses run region-specific ERP, HR, or accounting systems. Verify that your chosen Microsoft 365 plan supports the integrations your existing tools need. Standard Microsoft APIs are broad, so most integrations work, but confirm before committing.
3. Data residency.
Microsoft has data centres in the UAE now. Most UAE businesses prefer to store their tenant data locally for compliance and latency reasons. When you provision through a UAE partner, we default your tenant to the UAE region unless you specifically request otherwise.
Our take
There is no single best Microsoft 365 plan. There is only the best fit for your team, your data, and your growth trajectory.
For most UAE small and medium-sized businesses, our default recommendation is:
- Business Standard for the core team (writers, marketers, sales, operations)
- Business Premium for anyone handling sensitive data or managing company devices
- Business Basic for reception, retail floor, or lightweight users who only need email and Teams
Mixed licensing usually saves 25 to 40% compared to putting everyone on Business Premium by default. Yes, Microsoft allows different plans across users in the same tenant.
